General Terms and Conditions

The following booking conditions apply to all your wedding services arrangements booked with us.
The following Booking Conditions, together with the Booking Form, are the basis of your contract with Primavera Bled Ksenija Solar s.p..
Please read them carefully. Your signature in the booking form will be taken as their acceptance by you. In these booking conditions, reference to ‘you’, ‘your’ and ‘yourself’ refers to the person or persons named on the booking form; ‘we’, us’ and ‘ourselves’ refers to Primavera Bled Ksenija Solar s.p., trading as Primavera Bled.

When making a booking, once we have confirmed the definite availability to you in writing by e-mail or fax, you must complete and sign the booking form and email or fax it to us. ,The form must be signed by the first named person on the booking form, who must be at least 18 years of age and who will be primarily responsible for making all payments to us.

A binding contract between you and us comes into effect once the booking has been confirmed and we have received your booking form with your deposit payment.

How we will communicate with you
We understand that you will have many questions, particularly if you are booking far in advance. If you wish, you are most welcome to meet us in Bled with a list of questions prepared for us. To date we have successfully organised over two hundred weddings and we always endeavour to provide a reliable and professional service in every respect. As we organise many weddings each year we prioritise those which are most imminent. We cannot, therefore, provide a full response to any questions arising prior to the six months before your wedding (unless they are an absolute emergency). We have a list of frequently asked questions on our website – please read through it as many of the answers to your questions may be found there.

Most of our communication and planning for each wedding is done around six months prior to the wedding date. We endeavour to reply to emails daily. For urgent matters you are kindly asked to call us. Please note all orders and arrangements need to be confirmed in writing.

Making your booking
Our aim is to provide a professional service to ensure your wedding in Slovenia goes as smoothly as possible during both the planning stage and on the day itself. For us to do this effectively it is important for you to understand what the various stages of booking your wedding are:

1. You review the wedding products and services we offer on www.weddings-in-slovenia.com and decide which of them suit you best.
2. You fully complete the Wedding Request Form.
3. You forward the completed document to us by email or fax.
4. We will reply confirming whether we are able to organize your wedding on the chosen date. We will also confirm initial pricing subject to any subsequent requests and changes.
5. Once you have made the request we will ask you to send us a non-refundable deposit. This is to ensure that your chosen date is reserved and cover the initial costs that we will incur on your behalf. Regrettably, we are unable to proceed without this deposit.
6. Once we have received your deposit we will confirm the date and location of the ceremonies to you, including instructions on the legal requirements and other paperwork required. The times for the ceremonies – civil or church - will be confirmed 30 days prior to the wedding date. At the same time we will send you a list of suggested restaurants and information on their fare from which you can select your venue and wedding meal.
7. You will then need to confirm the restaurant reservation and requirements no later than two weeks after your booking has been confirmed with us.
8. You will confirm music services i.e. the type of entertainment you require (e.g. live music or DJ) at the time of booking.
9. Once we have the required details regarding legal requirements, ceremonies, restaurant choice and entertainment details, we will be back in touch with you six months before your wedding with further instructions. At that time we will provide you with a wedding protocol including a schedule of important dates and discuss with you any further matters relating to your requirements and the services that need to be confirmed.
10. Additional extra services can be added up to 60 days prior to the wedding date and are a subject to availability – every additional service needs to be requested/confirmed in writing e.g. by email or fax.
11. The final wedding planner with an invoice will be passed to you for approval and payment approximately 45 days before your wedding day. Payment in full needs to be arranged no later than 15 days after receipt of our invoice. After final payment any smaller amendments or additions will need to be settled locally prior to the wedding taking place.

Payment conditions
All prices are subject to change as a wedding includes many service suppliers. An initial quote will be provided to you before you make a decision to proceed with the booking. The final price of your wedding services will be confirmed to you approximately 45 days prior the wedding taking place. A non-refundable deposit of 900 EUR will be due at the time of booking or, at the latest, 30 days after our confirmation of your wedding date. This will secure your booking of our services and your wedding date. Deposits are non-refundable as specified on the Booking Form and required for all bookings made. All balances must be received 15 days after you have been issued with the final invoice; if we do not receive the balance in full and on time, the booking will be treated as cancelled, in which case the cancellation charges set out under our ‘Cancellation by you’ section apply. Any additional services you request on the day of your wedding must be paid for in full to Primavera Bled on the following day.

Payment for our services must be made in Euros. Payment is done by means of bank money transfer - at present, we do not accept payment by credit or debit card, or by personal cheques. The Slovene banking system is efficient and secure.

Legal requirements
It is our responsibility to assist you with correct information regarding the legal requirements imposed on us by the Slovene government regulations, current legislation and Church authorities. Please note we cannot obtain or request specific personal documents on the couple’s behalf (i.e. certified copies of birth certificates, etc.). This is the duty of the couple to arrange as per our instructions and provide them to us by the agreed time. If the required documents are not with us by the agreed time, or are incorrect as a result of not following our guidelines, the consequences are the full responsibility of the wedding couple. Legal requirements are stated on our web site and also sent to you at the time of booking.

Wedding photography
Photographic coverage will be at the photographer’s professional discretion and each photograph will be considered to be of equal importance. Every effort will be made to comply with your wishes but any special requests you make are not a binding instruction. The photographer is not responsible for the failure of individuals to be present or to cooperate during photography sessions, nor for missed images due to lack of instruction. The service of a wedding photographer is an integral part of our wedding organisation offer and cannot be excluded.

The photographer
On occasions and without any notice it may be necessary for the photographer originally specified to be substituted by another photographer (e.g. due to ill health). Our photographer has sole-exclusive right to take images of your wedding day. Should a second professional photographer be under your direct employment, we reserve the right to withdraw our photographer and our charge will not be reimbursed. The client acknowledges that they are responsible for notifying all of their guests that guest photography is not permitted at any time while the professional photographer is in session. Due to time constraints and the need for subjects to pay full attention to the professional photographer, guest photography is requested to be done at a separate time.

Images
All image sizes are of a standard format. The photographer will provide a pleasing colour balance but cannot guarantee exact colour matching owing to anomalous reflectance caused by a combination of certain dyes and materials especially man-made fibres. It is sometimes impossible to record on film/digital the exact colour as seen by the human eye.

Retouching
The photographer will perform standard retouching to take the photographs to a quality of which he is proud. Further retouching, digital manipulation and artist finishing is available on request as an optional extra and incurs an additional fee.

Copyright
Any images or copies of images whether stored digitally or otherwise are protected under international acts of Copyrights. It is against this copyright legislation to copy or allow to be copied photographically/electronically or by any other means an image created as a part of this contract without the permission of Primavera Bled in writing. All rights to images created by the photographer will remain with Primavera Bled until the fees stated in the booking process are paid in full: only then will the copyrights be released to the client. The images will remain the intellectual and moral property of the photographer and Primavera Bled. The photographer and Primavera Bled may only use the photos for for marketing and promotion of Primavera Bled and the photographer, unless you request us not to do so in writing.

Licence
The photographer shall be granted complete artistic licence with regard to the poses photographed and locations used. Due to the unpredictability of the weather conditions, and the willingness of individuals to comply with requests, it may not be possible to capture all the images requested.

Force Majeure
If the performance of this agreement is delayed, hindered or prevented or is otherwise frustrated by reason of force majeure i.e. any event beyond the control of the party affected, then the party so affected will promptly notify the other in writing. Primavera Bled can not be held responsible for cancellations or changes resulting from a Force Majeure. Upon acceptance in writing by the other party of the existence of any such event, or if the other party has failed to respond within five working days, the obligations of both parties will cease or shall be suspended for an appropriate period of time to be arranged between Primavera Bled and yourself
Wedding reception
As part of our service we also offer a reservation service for wedding receptions i.e. wedding breakfast/dinners, banquets, etc. In the booking process we offer suggested services offered by our partners – the decision on which venue to choose is yours. As a part of our service we can arrange room decoration, table layouts, menu choices and all other aspects of the event. As with all event planning, certain regulations need to be taken into account such as:
VENUE CHOICE
When you choose the venue for your wedding dinner you need to make a firm decision and provide us with an approximate number of guests. If the specific venue requests, you will need to make a deposit to reserve their services.
PARKING
Parking is subject to the availability of each venue’s terms and conditions.
FINAL NUMBERS
These should be confirmed with us at least 4 weeks prior to the event taking place. Changes of plus or minus 10% are tolerated without penalties. Where changes exceed this charges may apply.
DURATION OF THE EVENT
The menu cost includes the cost of venue hire for 5 hours. When the event exceeds this time a venue hire may be charged. Exact details of this are agreed upon at the time of booking.
FOOD & BEVERAGE POLICY
Due to insurance and health code regulations, no food and beverage of any kind will be permitted to be brought onto the premises by the patron or guests.
LIQUOR LIABILITY
The sale and service of alcohol is strictly regulated by Slovenian legislation. It is prohibited to serve alcohol to minors (aged under 18). The patron has the right to refuse the sale or service of alcohol to any individual not holding accepted forms of identification and/or if the person is deemed to be intoxicated.
VENUE AND TABLE DECORATIONS AND DISPLAYS ARRANGED BY YOURSELVES
These can be arranged by yourselves but Primavera Bled and the venue management will not assume any responsibility for any items brought to or displayed at the event. We or our partners will do our best to distribute or display them as instructed. We reserve the right to limit the number of items brought onto the premises and will assume no responsibility for any lost or damaged items. Centrepieces or other decorative items bearing an open flame are not allowed. Candles must be enclosed in glass or similar.
SECURITY
Primavera Bled and venue management shall not assume any responsibility for lost and stolen articles prior to, on or after the event taking place. Primavera Bled and the venue management reserve the right to hire a security officer at any function when we feel that it is in the best interest of our partners and guests. Clients are responsible for any damage to the building and equipment during the event.
MUSIC
Primavera Bled and the venue management reserve the right to limit the volume of musical entertainment. A maximum of one hour is allowed for all entertainment to set up or put away equipment that is required for their performance. Drinks and food for the entertainment performers are normally paid for by the customer as they are not covered by the host establishment.
CLEANING
A venue cleaning fee may be charged if the venue and its related facilities are left in a state of excessive disarray and un-cleanliness.
PAYMENT
Final payment needs to be made no later than the day of the wedding and you will need to pay them directly to the supplier/restaurant or hotel. Most hotels accept credit/debit cards, bank money transfers and cash payment. Cheques are not accepted.

Please note that each supplier has their own regulations. These will be passed to you at the time of booking. The above regulations are typical of those stated by many of the suppliers and, therefore, need to be taken into consideration.

Cancellations and changes by You – your liability
All cancellations must be notified in writing and the following charges will apply from the date the notification is received by us (we recommend you use recorded delivery, fax, or e-mail).

Applicable charges on cancellation of a wedding:
- after a wedding has been confirmed by us to you the deposit is NON refundable
- if you make a cancellation 150 - 120 days before the wedding 20 % of the initial quote and the deposit is charged
- if you make a cancellation 119 – 90 days before the wedding 40 % of the initial quote and the deposit is charged
- if you make a cancellation 89 – 60 days before the wedding 50 % of the initial quote and the deposit is charged
- if you make a cancellation less than 59 days before the wedding full amount of the initial quote and the deposit is charged

The percentage is calculated based on the initial quote of your wedding costs, excluding amendment charges. All amendments to your confirmed booking must be notified to us in writing and, while we will always do our best to try to assist you, we cannot guarantee that we can make changes.

Charges are applicable for a cancelation of a specific service or services*:
- up to 30 days after the wedding booking has been confirmed to you, cancellation of these specific services can be made at NO extra charge.
- cancellations or changes of these services after the initial 30 days since the booking has been confirmed to you will result in full payment of these services.
* The following services are examples of specific service: videographer; the restaurant; entertainment (e.g. band or DJ); civil or church service; transport between venues; flowers; bridal services e.g. hairdressing and make up; and venue/table decorations.

- If a wedding date needs to be rescheduled the deposit will be applied to the new date. A wedding date change is permitted up to 30 days from the date the booking has been confirmed to you without any additional service charges. If the date change is requested after 30 days we reserve the right to charge 150,00 EUR for our service. In either case, the service providers already booked cannot be re-booked for the new date, all charges for that service provider will be charged according to the above conditions/percentage.

You are obliged to be present on time for the specified services. If you disregard the time appointed it is not the responsibility of Primavera Bled to make another appointment, nor is Primavera Bled responsible for the ceremony not taking place due to your negligence.

Cancellations and changes by Us - our liability
Our obligations to our customers are:
to endeavour to provide accurate and up-to-date information to all our clients throughout the booking process.
to make all the necessary reservations requested by you during the booking process and confirm them to you in writing where your requirements are confirmed with us in writing.

While we accept responsibility for proven negligence and deficiencies caused by us, we cannot be held responsible when we are forced to make a change or a cancellation as a result of unusual and unforeseeable circumstances beyond our control, the consequences of which we could not have avoided even with all due care. Such circumstances may include transportation costs, an increase in VAT or other government imposed increases, considerable adverse exchange rate variations, technical transportation problems, natural or nuclear catastrophes, adverse weather conditions, war or threat of war, riots, fire, flood, civil strife, industrial disputes and similar events (see also the clause above on Force Majeure).

 

Complaints
In case of problems arising, please register your complaint immediately with the wedding co-ordinator assigned to you or any other Primavera Bled member of staff who will endeavour to put things right. Failure to do so may reduce your rights to compensation. If for any reason you are still dissatisfied, you need to complete a written report and send it to us within two days of the wedding event; failure to follow this procedure relieves us from liability in relation to any claim.
